Subject: Minutes
of the October 14, 2003 General Meeting
For your information, attached are the Minutes for the
October 14th, 2003 General Meeting.
Also, it was suggested that we poll the homeowners ahead of time about
what improvements that you would like or what you would suggest to change. Please fill out and return the attached form
to any one of the board members. If you
lose the form between now and the spring meeting, a handwritten note is
fine! The whole point is to get a
better idea of what the homeowners want for their subdivision in addition to
the maintenance as stated in the corporate by-laws.
Also, the Woodbury Park Homeowner's website is up and
running. The link is

Audit
Results
- Reconciliation: a check written in one year, bank
cashed the next. Also, didn’t have
back-up for two checks to Debby B. and Jim L. They were for the Island Rocks.
- Recommendations:
- Insurance premium to cover
embezzlement
- Motion to bond was made by
Mark B. Motion seconded by Kim S. Motion carried.
- Adopt by-laws
- We already have articles of
incorporation. What is less
clear is the day-to-day rules of running the organization. Things like up to what level can the
board approve w/o going back to the general meeting, how to run
elections, how to run nominations, etc.
It was agreed that the board would make up a by-law document and
bring a draft for review to the next meeting.
Operational Results
- New signs were installed at
both entrances for a total of $2600.
Thanks to Henry Z. for all his hard work. The association members asked for a quote to put signs on
the main wall at the north entrance.
- The fences were painted along
the berms. The weeds were removed
near the fences. The W's did a
significant amount of weeding, plus we hired a company to do the rest.
- The flowers need to be
removed. Cindy K., maintenance
chair, to make the arrangements and look into mums. For future reference the dead flowers
need to be taken out before October 1st every year.
- Al D. has created a privacy
policy and was discussed. A copy
will be posted to the website.
- Homer S. has also spent a lot
of time putting information on the web.
Financial
Report
- The financial report will be
posted on the website.
- Bob S. motioned to accept the
financial report. Motion seconded
by Maryanne M. Motion carried.
New
Business
- Mailboxes need repair. We need an alternative for the current
mailboxes. They require too much
maintenance. We will investigate
other types of mailboxes that are decorative, yet sturdy and low maintenance.
- Kim S. volunteered to put up
the Christmas decorations at the entrances. We ordered 4 wreaths and roping.
- Adam G. (liaison to the police
department) reported that too many people are blowing through the stop
sign. He may propose to the police
big white thick lines show the proper place to stop/cross.
Motion: Kim
F. to close the meeting. Motion
seconded by Bill S. Motion carried.
